The Welcome Week Intern is responsible for helping to support the planning and implementation of the Welcome Week program. 

The Welcome Week Intern is responsible for helping to support the planning and implementation of the Welcome Week program. The Welcome Week Intern helps to manage operational components for the Welcome Week program including logistics for event planning, training components, and execution of events. The Welcome Week Intern will also help support other major OTE programs throughout spring and summer, including (but not limited to) Orientation. It is essential that the individual hired for this position has exceptional interpersonal skills, customer service skills, comfort with written and verbal communication to a variety of constituents, a high level of attention to detail, previous leadership experience, and can work autonomously and within a team.

Responsibilities

  • Support event planning meetings with campus partners by keeping and maintaining notes
  • Review feedback from prior year’s program
  • Attend and participate in Welcome Week Advisory Board meetings as course schedule allows
  • Support leadership initiatives related to Welcome Week, including: recruitment efforts of all student leader roles within OTE, spring training, summer communications with leaders, May/June and August training as it relates to Welcome Week
  • Support off-campus/commuter student track and transfer track within Welcome Week
  • Assist in creating, updating, and promoting content within the Welcome Week Transition Hub
  • Assist with Welcome Week Registration and Welcome Week evaluation support work
  • Provide administrative support for the Welcome Week and Orientation programs
  • Work with professional staff to prepare program training materials across student leadership positions
  • Provide support for Welcome Week events, specifically Welcome Week Check-in, and other events as assigned. This includes, but is not limited to, troubleshooting and providing oversight of events, etc.
  • Assist in supervision, training, and support of student leaders who support Welcome Week through the creation of schedules, assignments, managing conflicts, etc.
  • Support the development and updating of rotational grids for various tracks within the Welcome Week program
  • Support August training to help train student leaders about Welcome Week logistics
  • Attend regular Welcome Week Team Meetings to provide updates and stay informed about programmatic changes
  • Serve as a positive representative of the University and Orientation & Transition Experiences
  • Support all OTE programs such as Orientation and other transition programs throughout the year and summer
  • Complete other projects/tasks as assigned
  • Balance academic responsibilities with the requirements of the position

Objectives & Goals

Through this experience, the Welcome Week Intern will:

  • Learn to work in a fast-paced, challenging environment, demonstrating flexibility and problem-solving skills;
  • Develop a sense of responsibility and professionalism through work with the OTE professional and student staff, Orientation Leaders, and Welcome Week Leaders;
  • Cultivate accountability through timely and quality completion of work;
  • Gain experience in event planning & execution, setting and meeting personal and professional goals, and interacting in a professional environment;
  • Work independently and interdependently with other OTE interns, supervisors, staff and many campus partners to make progress toward goals; and
  • Demonstrate personal strengths and improve upon weaknesses to enhance self-confidence and promote confidence in others.

Qualifications

  • Student employees must be at least 18 years old to work for Orientation & Transition Experiences.
  • At least three (3) semesters of completed coursework at university/college level by Spring 2026
  • Previous leadership experience
  • Cumulative GPA of 2.75 or higher to be maintained throughout employment and reviewed each semester
  • Enrolled full time (13 credits) as a student through at least Fall 2026 semester, and not enrolling in Summer 2026 courses (without discussing with supervisor)
  • Strong multitasking and organizational skills, including high level of attention to detail and aptitude for detailed information
  • Demonstrated time management skills
  • Can positively receive and utilize constructive feedback
  • Ability to receive and delegate tasks, and be able to hold yourself accountable to completing tasks
  • Strong presentation/public speaking skills
  • Demonstrated commitment to equity and inclusion.
  • Availability during the Spring, Summer, and Fall to fill the required hours of the position (during business hours)
  • Not planning to study abroad before September 2, 2026 and will not graduate prior to December 2026.

 

Preferred Position Qualifications: 

  • Prior experience(s) as a Welcome Week Leader, Orientation Leader, Operations Crew or other OTE office experience
  • Strong organizational, administrative, customer service, and leadership skills including the ability to effectively communicate, utilize spreadsheets, delegate tasks, and work to develop a team
  • Self-motivated and a desire to work in a flexible team and focused atmosphere
  • Ability to take initiative, is punctual, reliable and consistent, approachable, positive, friendly and has a proactive customer service philosophy
  • A team-oriented attitude, demonstrated problem-solving skills, adaptable to changing situations and details
  • Strong interpersonal, communication, and leadership skills and the potential to develop these skills
  • Ability to work well independently, as well as with a diverse staff.

Schedule & Important Dates

December - Mid-May (10-12 hours/week during Fall/Spring Semester)

  • Support event planning meetings with campus partners
  • Review debrief and evaluation feedback from prior year’s program
  • Attend and participate in Welcome Week Advisory Board meetings, as able
  • Support recruitment efforts of Welcome Week Leaders and other OTE student leader roles

 

Mid-May - July (35 hours/week)

  • Continue supporting and attending event planning meetings, support campus partners as needed
  • In collaboration with the Communications Team, work to update the Welcome Week webpage & begin planning for social media engagement
  • Review and compile information to inform Welcome Week Registration and Evaluation process
  • Continue attending/participating in Welcome Week Advisory Board meetings
  • Support leadership efforts with preparing training materials for WWL Training
  • Assist with orders for Welcome Week, including T-shirts, Bags, etc.
  • Develop and finalize rotational grids
  • Support Orientation logistics, as needed (including Transfer Orientation)

 

August (40 hours/week, overtime is allowable week prior to and including Welcome Week)

  • Finalize training materials and training program for student leaders
  • Work with campus partners to solidify staffing needs & assign roles
  • Support testing of personal schedules
  • Support group assignments
  • Prepare for implementation of all events
  • Implement and support all Welcome Week events

 

September - October (10-12 hours/week) - Post Welcome Week

  • Inventory all supplies
  • Support debrief of all events
  • Finalize attendance records
  • Code Welcome Week evaluations
  • Support 10th day attendance reporting
  • Create report summarizing attendance and evaluation findings
  • Make recommendations for the following year’s intern & program

Compensation

The Welcome Week Intern is paid $15.75 per hour and works 10-12 hours per week during the academic year and up to 40 hours per week throughout the summer, based on available work. They are eligible for pre approved overtime pay for weeks requiring more than 40 hours, which is likely during the week leading up to and including Welcome Week.
